On behalf of our trusted client, a boutique private equity firm based in Zurich, Swisslinx is looking for a dedicated and highly organized Personal / Executive Assistant. You will be responsible for a wide range of administrative, organizational, and communication tasks, providing essential support to our CEO in managing daily operations and strategic initiatives. As part of a small, international team in the center of Zurich you will be working independently on a broad range of tasks.
Your Role:
- Calendar Management: Effectively manage the CEO's schedule, including meetings, appointments, and travel arrangements, to optimize time and productivity.
- Correspondence: Prioritize and manage email and phone communications on behalf of the CEO, ensuring timely responses and flagging important matters.
- Travel Coordination: Arrange and coordinate both domestic and international travel, including flights, accommodations, and itineraries.
- Meeting Support: Prepare meeting agendas, materials, and take accurate minutes when required; follow up on action items and deadlines.
- Communication Liaison: Serve as a point of contact between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality.
- Document Management: Organize, maintain, and archive confidential documents, reports, and presentations, ensuring easy access when needed.
- Project Assistance: Assist with various projects and research assignments, providing valuable insights and contributing to project success.
- Office Organization: Maintain an efficient and organized office environment, ordering supplies, and coordinating office logistics as needed.
Your Profile:
- Minimum 5 years' experience as a Personal or Executive Assistant
- Background within a financial services environment, law firm and/or high-level hospitality would be preferred
- Outstanding and extremely professional communication skills as well as ability to communicate with senior and C-Level executives
- Ability to work independently with a proactive approach
- Discreet, reliable and adaptable working style and personality
- Business professional English and German, Dutch would be an asset
